This Privacy Policy explains how VIP Meet responsibly collects, uses, stores, and protects information. VIP Meet is a campus visitor and VIP meeting management platform for reception staff, VIP hosts, administrators, and visitors. We prioritise data security, transparency, and legal compliance.

1. Information we collect
Depending on your role and how the platform is used, we may collect staff account details (name, email, role), visitor and meeting information (name, phone, organisation, purpose, schedule, status), photos or ID documents for walk-in registration when required, device permissions you allow (camera, photos, notifications), and limited usage or technical data needed for security and reliability.
2. How we use information
Information is used strictly for visitor management, administrative, and operational purposes — including walk-in registration, VIP approvals, meeting queues, alerts and communication, reporting, authentication, and service improvement. We do not use personal data for unrelated advertising.
3. Children’s privacy
VIP Meet is primarily a staff and campus operations tool. Where visitor records include information about minors, collection is limited to what is necessary for campus visit management. We align with applicable child-privacy expectations, including COPPA principles where relevant, and campuses should obtain required parental or guardian consent before processing data for students under 13.
4. Legal compliance
We process personal data in line with applicable requirements, including India’s Digital Personal Data Protection Act, GDPR principles where they apply, and app store privacy standards.
5. Sharing and security
VIP Meet does not sell personal data. Information is shared only with authorised campus staff and trusted service providers when required for core functionality (such as hosting or push notifications), or when required by law. We use reasonable security measures, including encrypted transport and access controls, and aim to store data securely.
6. Your rights
Subject to applicable law and campus policy, you may request access to, correction of, or deletion of your personal data. You may also manage device permissions (camera, photos, notifications) in your device settings. Some features may not work without the related permission.
7. Retention
We retain visitor and meeting records only as long as needed for campus operations, security, audit, or legal requirements. When no longer required, data may be deleted or anonymised according to platform and campus practices.
8. Changes
We may update this Privacy Policy from time to time. The “Last updated” date will change when we do. Continued use of VIP Meet after an update means you accept the revised policy where permitted by law.
